Please read these terms carefully before using EaseMed.

It does not replace professional medical judgment, official hospital protocols, registered treatment guidelines, or any clinical decision-making tools. Always defer to your supervising clinician and your institution's official procedures.

Acceptance of Terms

By creating an account on EaseMed or using any feature of the platform — including but not limited to the clinical clerking modules, patient record tools, ward round preparation tools, or administrative functions — you confirm that you have read, understood, and agreed to these Terms and Conditions in their entirety.

These Terms and Conditions constitute a legally binding agreement between you (the user) and EaseMed. They govern your rights and responsibilities as a user of the platform. If you do not agree with any part of these terms, you must not register for or use EaseMed in any capacity whatsoever.

If you are accessing EaseMed on behalf of a university, teaching hospital, health facility, or other institution, you confirm that you have the authority to agree to these terms on behalf of that organisation, and that the organisation will also be bound by them.

Minors (persons under the age of 18) are not permitted to use EaseMed. By registering, you confirm that you are at least 18 years of age.

📌 Your Agreement at Sign-Up By ticking the agreement checkbox on the EaseMed sign-up form, you acknowledge that you have read, understood, and accepted these Terms and Conditions and the EaseMed Privacy Policy. This action carries the same legal weight as a written signature under applicable Ugandan digital commerce law.

Who May Use EaseMed

EaseMed is a specialised clinical education platform designed for healthcare learners and professionals. Access is restricted to individuals who fall within the following categories of authorised users:

Intern & Resident DoctorsCurrently serving in a recognised hospital internship or postgraduate residency programme under supervision.

Clinical Officers & NursesRegistered allied health professionals engaged in direct patient care, clinical training, or continuing education.

Medical EducatorsLecturers, clinical supervisors, or academic administrators overseeing structured clerkship and ward-based activities.

ConsultantsSenior clinicians reviewing, supervising, or providing feedback to students and interns during clinical rotations.
🔬
Postgraduate TraineesDoctors enrolled in postgraduate clinical training, specialist programmes, or fellowship courses.

By creating an EaseMed account, you further confirm that:

  • All information you provided during sign-up — including your name, role, institution, and year of study — is accurate and truthful
  • You are not impersonating another person or misrepresenting your professional status
  • You are affiliated with, or are applying to join, a recognised medical, nursing, or allied health institution
  • You will use EaseMed solely for lawful, ethical, and educational purposes
  • You understand that EaseMed may verify your credentials and reserves the right to suspend any account where eligibility cannot be confirmed
📌 Account Activation Access to EaseMed's full features is subject to account activation by an authorised administrator. Newly registered accounts may be in a pending state until reviewed and activated. This helps ensure the integrity of the platform for all legitimate users.

Purpose of the Platform

EaseMed is an educational clerking assistant built to help medical students and healthcare learners develop systematic, structured, and high-quality clinical documentation habits. All clerking prompts, examination checklists, and history-taking frameworks in EaseMed are grounded in Hutchison's Clinical Methods (25th Edition) — one of the most widely respected clinical medicine reference texts in use across East African medical schools.

The platform provides four core structured clerking modules, each tailored to a specific patient population and clinical context:

  • Internal Medicine — Full adult history-taking covering presenting complaint, history of presenting complaint (HPC), past medical history (PMH), drug and allergy history, social and family history, HIV context, review of systems, and comprehensive physical examination
  • Surgery — Structured surgical clerking covering presenting complaint, HPC, past surgical and medical history, review of systems, surgical physical examination, and preliminary assessment
  • Pediatrics — Child-focused clerking covering birth history, neonatal period, developmental milestones, immunisation status, growth monitoring, nutritional assessment, and red flag identification
  • Obstetrics & Gynaecology — Comprehensive women's health clerking covering menstrual history, obstetric history, gynaecological history, antenatal care (ANC) data, contraceptive history, and system-specific review of symptoms

EaseMed also provides an administrative module allowing supervisors and educators to track clerkship activity, monitor ward round readiness, and manage student accounts within their institution.

⚠️ Critical Limitation — Please Read Carefully EaseMed does not provide diagnoses, prescribe medications, recommend specific treatments, or make clinical decisions of any kind. The platform is a documentation and learning aid only. Any information entered into or generated by EaseMed must never be used as the sole basis for patient management. All clinical decisions must be made by a qualified, registered clinician following proper, direct patient assessment. If you are ever uncertain about a clinical situation, put down the app and speak to your supervising clinician immediately.

EaseMed does not replace hospital information systems, electronic medical records (EMRs), official clinical referral forms, or any documentation system mandated by your institution or the Ministry of Health Uganda.

User Accounts & Security

Each EaseMed account is personal, individual, and non-transferable. As the registered account holder, you bear full responsibility for all activity that occurs under your login credentials — whether or not that activity was carried out by you personally. The following rules govern how your account must be managed and used:

  1. 1Keep your password strong and confidential. Do not share it with anyone — not colleagues, classmates, supervisors, or family members. Use a unique password that you do not use on other platforms.
  2. 2Do not allow another person to log in to your account or access any EaseMed module under your credentials, even temporarily or for seemingly innocent purposes.
  3. 3Do not create multiple EaseMed accounts. Each user is entitled to one account only. Creating additional accounts to circumvent activation, expiry, or account restrictions is a violation of these terms.
  4. 4Log out of EaseMed when using a shared or public device. Do not leave your session unattended on any device accessible to others.
  5. 5If you suspect your account has been accessed without your knowledge, or if your credentials may have been compromised, contact us immediately at support@easemedapp.site. Change your password right away.
  6. 6Account access is subject to an activation and expiry cycle managed by your institution's EaseMed administrator. Access may be restricted or revoked if your subscription, enrolment, or institutional affiliation lapses or is terminated.
  7. 7EaseMed administrators have the right to monitor login sessions, IP addresses, and device metadata for security and institutional oversight purposes. This activity is disclosed in our Privacy Policy.

EaseMed reserves the right to suspend, deactivate, or permanently terminate any account found to be in violation of these terms — without prior notice in cases of serious or ongoing misuse. Terminated accounts will not be reinstated unless EaseMed is satisfied that the violation has been addressed.

Patient Data & Confidentiality

When you use EaseMed to document a patient encounter, you are handling sensitive personal health information. This carries serious professional, ethical, and legal obligations under both Ugandan law and the rules of your medical or nursing profession. By using EaseMed in any clinical setting, you agree to comply with all of the following:

  • Uganda's National Health Policy and any applicable data protection regulations, including guidance issued by the Ministry of Health Uganda
  • Your hospital, health facility, or institution's patient confidentiality and data governance protocols and policies
  • The ethical standards set by your medical school, professional body, or regulatory authority — including the Uganda Medical and Dental Practitioners Council (UMDPC) and the Uganda Nurses and Midwives Council (UNMC) as applicable
  • The core principles of patient confidentiality, informed consent, and data minimisation as taught in your clinical training programme
  • Any specific consent or data-sharing agreements your hospital may have with patients regarding how their health records are documented and stored
⚠️ Anonymise Patient Records — This Is Your Responsibility Avoid entering full patient names, National ID numbers, hospital file numbers, addresses, phone numbers, or any other directly identifying information into EaseMed. Where your hospital requires patient identification to be documented, use initials, ward-assigned codes, or anonymised identifiers, fully in line with your institution's data handling policy. EaseMed does not require or recommend the use of identifying patient details.

EaseMed stores the clinical data you enter on Supabase's secure cloud infrastructure (see our Privacy Policy for full details). However, EaseMed is not an official medical record system and must not be treated as a substitute for your hospital's documentation requirements. You remain responsible for ensuring that any patient data you enter complies with all applicable institutional policies, professional standards, and legal requirements.

EaseMed accepts no liability for any data breach, confidentiality violation, or professional sanction that results from a user entering identifiable patient data into the platform in breach of their institutional or professional obligations. If you are ever unsure whether it is appropriate to enter certain patient information, do not enter it.

Acceptable Use

EaseMed is provided in good faith for the benefit of Uganda's medical education community and healthcare learners across East Africa. In exchange, all users agree to use the platform responsibly, ethically, and in accordance with both these terms and the standards of their profession. The following activities are strictly prohibited on EaseMed:

  • Using EaseMed for any commercial purpose — including reselling access, charging others to use your account, or incorporating EaseMed's tools into a paid service — without prior written permission from EaseMed
  • Attempting to reverse-engineer, decompile, copy, scrape, frame, or redistribute any part of the EaseMed platform, including its source code, clinical templates, module design, UI components, or database structure
  • Uploading, entering, or submitting false, fabricated, misleading, or entirely fictional patient records — whether for academic gain, plagiarism, or any other purpose
  • Harassing, threatening, impersonating, or misrepresenting any other user, clinician, supervisor, or institution through or in connection with EaseMed
  • Attempting to gain unauthorised access to the EaseMed admin dashboard, another user's accounts or patient records, or any restricted or privileged area of the platform
  • Introducing, uploading, or transmitting malware, viruses, automated bots, scripts, or any code that could damage, disrupt, overload, or compromise the EaseMed platform or its underlying infrastructure
  • Using EaseMed in any manner that violates Ugandan law, international law, medical ethics, or the code of conduct of your institution or professional regulatory body
  • Sharing, publishing, or distributing screenshots, exports, or recordings of other users' patient records or account activity without their explicit consent
📌 Consequences of Misuse Accounts found in violation of acceptable use policies will be suspended or permanently terminated, without refund of any fees paid. In serious cases, misuse may be reported to your medical school, teaching hospital, or relevant professional regulatory body. EaseMed reserves the right to take legal action where violations result in damage to the platform, its users, or third parties.

Intellectual Property

All content, design, code, and functionality within EaseMed — including but not limited to the clerking module templates, history-taking frameworks, examination checklists, clinical prompts, UI layout, colour schemes, typography, icons, branding, and the EaseMed name and logo — are the intellectual property of EaseMed and its developers, and are protected under applicable intellectual property law.

The clinical framework used in EaseMed's modules is structured around Hutchison's Clinical Methods (25th Edition), published by Elsevier. All content derived from that text remains the property of the respective authors and publisher. EaseMed does not claim ownership of Hutchison's content — it uses the framework strictly as an educational reference, in a manner consistent with fair use for educational purposes. EaseMed is not affiliated with, endorsed by, or in any way officially associated with the publishers or authors of Hutchison's Clinical Methods.

By using EaseMed, you are granted a limited, non-exclusive, non-transferable, revocable licence to access and use the platform for your own personal educational purposes, for the duration of your active account. This licence expressly does not permit you to:

  • Copy, reproduce, adapt, translate, or publish any part of EaseMed's content, design, or code — in whole or in part — without prior written permission
  • Use EaseMed's clerking templates, clinical prompts, or module structures to build your own competing educational or clinical product
  • Remove, obscure, or alter any copyright notices, attributions, or branding present in any EaseMed content or interface
  • Sub-licence, sell, or otherwise transfer your right to use EaseMed to any other person or organisation

Any patient records, clinical notes, or documentation that you create and save within EaseMed remain your own content. EaseMed does not claim ownership of the clinical data you input. However, you grant EaseMed a limited licence to store and display that data to you and authorised administrators as part of delivering the service.

Disclaimer of Liability

EaseMed is provided "as is" and "as available" for educational purposes only, without warranty of any kind, express or implied. To the fullest extent permitted by applicable Ugandan law and international standards, EaseMed and its developers make the following disclaimers:

  • No clinical warranty: EaseMed does not guarantee the clinical accuracy, completeness, currency, or appropriateness of any content, prompt, checklist, or template on the platform. Medical knowledge evolves continuously. Always verify all clinical information with your supervising clinician and current, authoritative guidelines before applying it to patient care.
  • No liability for patient outcomes: EaseMed is in no way liable for any patient harm, adverse clinical outcomes, medical errors, missed diagnoses, or professional consequences of any kind arising from the use or misuse of the platform, whether directly or indirectly.
  • No liability for data loss: While EaseMed takes reasonable technical steps to protect your data, we cannot guarantee against server downtime, data loss, corruption, or technical failures. EaseMed must not be relied upon as the sole or primary repository for any important patient records or clinical documentation.
  • No liability for third-party services: EaseMed integrates with third-party services including Supabase (database), Vercel (hosting and analytics), and Google (OAuth sign-in). EaseMed is not responsible for outages, changes in service, data handling practices, or policy changes by these external providers. Their own terms and policies apply independently.
  • No liability for network access: EaseMed requires internet connectivity for full functionality. We are not liable for any inability to access the platform due to internet outages, power failures, or network restrictions at your institution.
  • User responsibility: Users are solely and entirely responsible for their own clinical decisions, professional conduct, ethical behaviour, and the appropriateness of how they use EaseMed within any clinical environment.
⚠️ EaseMed is a learning tool — not a clinical safety net. If you are ever unsure about a clinical situation, patient management decision, or diagnosis — close the app and speak to your supervising clinician immediately. No app replaces clinical judgment, experience, or direct patient assessment.

Changes to These Terms

EaseMed may update, revise, or extend these Terms and Conditions at any time. Changes may be made to reflect updates to the platform's features, changes in applicable Ugandan law or health regulations, institutional partnership requirements, or to better protect users and the integrity of the platform.

When changes are made to these Terms:

  • The Effective Date shown at the top of this page will be updated to reflect the date on which the revised Terms take effect.
  • Where changes are significant or materially affect your rights or obligations, EaseMed will make reasonable efforts to notify registered users via their registered email address before the changes take effect.
  • Continued use of EaseMed after the revised Terms have been published — whether or not you received a notification — constitutes your acceptance of the updated Terms.
  • If you do not agree with the updated Terms, you must stop using EaseMed immediately. You may request deletion of your account and associated data by contacting us at support@easemedapp.site.
  • EaseMed may also revise its Privacy Policy separately. Changes to the Privacy Policy will follow the same notification process described above.

We encourage all users to review these Terms periodically. The most current, binding version will always be available at this page. Older versions are not binding once a revised version has been published.
